Privacy Policy

Sealbid is built for HVAC and plumbing contractors. This policy describes what information we collect, how we use it, and the limits we put on sharing — written plainly, without legal jargon you'd need a lawyer to decode.
Who we are
Sealbid is operated from Plano, Texas. Contact us at hello@sealbidapp.com with any privacy question, request for your data, or request to delete your account.
What we collect
We collect only what we need to run the product:
- Account information. Your email address and password (stored as a one-way bcrypt hash — we cannot read it).
- Business profile. Company name, address, phone, brand color, default rates, default terms, market tier, and trade. Optional: logo file.
- Voice corpus. Writing samples you upload so the AI drafts in your voice. Encrypted at rest. Private to your shop. We do not train shared models on your samples.
- Rate card and quote content. Equipment, labor, parts, prices, line items, prose, photos, and audit metadata.
- Customer data you enter. Names, addresses, email addresses, and phone numbers of your customers, used solely to deliver the quotes you send.
- Mobile phone numbers. When you choose to text a quote, we transmit the customer's phone number to our SMS provider (Twilio) for that single delivery.
- Usage and device data. Server logs, IP addresses, browser/OS strings, page-view timestamps, and event IDs — used to keep the service reliable, secure, and improvable.
- Payment data. Subscription billing is handled by Stripe; we never see or store your full card number. Deposits collected from your customers are routed via Stripe Connect (in production) and we hold only the payment intent identifier and amount, never the card data.
How we use it
- To provide the quoting, signing, and deposit-collection features you signed up for.
- To send transactional email and SMS that you or your customers explicitly request.
- To improve our own AI prompts and rate-card calibration in aggregate, without exposing your samples to other shops or training shared third-party models on them.
- To detect fraud, abuse, and security incidents.
- To comply with legal obligations.
How we share — and what we never share
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. We do not sell your data. We do not rent it. We do not share your or your customers' mobile phone numbers, message content, or opt-in status with anyone for marketing.
We share data with the following sub-processors strictly to operate the service. Each is bound by a written data-processing agreement:
- Render — application hosting and the PostgreSQL database.
- Cloudflare R2 — encrypted storage for photos and voice samples.
- Anthropic — AI inference for vision and drafting. Inputs are sent transiently and not retained for model training.
- Postmark — transactional email delivery.
- Twilio — SMS delivery to the customers you choose to text.
- Stripe — subscription billing and deposit collection.
We may also disclose information when legally compelled (subpoena, court order) or to protect the safety or rights of users.
Data retention
Quote content, customer records, and voice samples are retained for as long as your account is active. When you cancel, we keep records for 60 days for support purposes, then delete them. You can request immediate deletion at any time by emailing hello@sealbidapp.com. Server logs roll over after 30 days. SMS delivery records (phone, status, message SID) follow the same retention as the parent quote.
Your rights
You can export your rate card, voice corpus, and quote history to PDF/JSON at any time from Settings. You can request deletion of your account and all associated data. If you are in California, the EU, or another jurisdiction with statutory privacy rights, those rights apply — email us and we will honor a verified request within 30 days.
Children
Sealbid is a B2B product for working contractors. We do not knowingly collect data from anyone under 16. If you believe a minor has created an account, email us and we will delete it.
Changes to this policy
We will post material changes here and email you at the address on file. Continued use of Sealbid after a change means you accept the updated policy.
